What Is A vCIO? Virtual CIO Services Explained

Written by Patrick Clements | Oct 28, 2026, 9:54:44 PM

A vCIO (virtual chief information officer) is a part-time CIO who serves several companies. The job is the CIO's: IT strategy, the roadmap and budget, and often oversight of IT staff and suppliers, for firms too small for a full-time one. An MSP can offer the role as a service.

We build SherpaDesk, a helpdesk and PSA (professional services automation) tool a small IT team can run alone.

Key takeaways

  • A vCIO owns the plan. Roadmap, budget, and the business review; how much hands-on IT work comes with it is a scope choice. The Job
  • The work runs as a yearly cycle. Goals, assessment, roadmap and budget, owners, then regular reviews. The Steps

What Is A vCIO?

A 2024 paper summarizing research with 62 fractional CIOs in 10 countries reports a definition drawn from 40 interviews: the role often carries a full-time CIO's authority, including over each client's IT staff and suppliers. It sits between a staff CIO and a consultant: a CIO's long-term view with a consultant's outside perspective.

Why it matters: small and midsize companies struggle to hire a full-time CIO, so IT often lands on a manager from another function, such as the CFO. A vCIO gives them senior IT leadership at a fraction of the cost.

New to the MSP side? Start with what an MSP is.

What Does A vCIO Do?

One MSP owner on r/msp listed the duties: own the 3-year roadmap and budget, lead yearly planning, build proposals, guide the project team, and keep executive relationships. Suppliers are real work too: the role often manages them and is seen as an objective contact for firms that can't judge them alone.

Where the role stops is a scope choice. One commenter, about to hire his MSP's first vCIO, wants the role kept out of tickets, engineers, and projects. At the other end, the study's "full-ownership" fractional CIOs also run IT operations and manage the client's IT staff.

How A vCIO Works, Step By Step

This yearly cycle follows the process that MSP owner described in the February 2026 thread.

  1. Learn The Business Goals

Meet the owner or executive team about where the business is going. The owner tells his vCIOs, whom he calls advisors, to listen "95% of the time".

Output: a short list of business priorities.

  2. Assess The Current Environment

    Audit the client's infrastructure.

Output: what's aging, missing, or at risk.

  3. Agree The Roadmap And Budget

Translate goals into a plan and a budget, then present it to the decision-makers.

    Output: a signed-off multi-year roadmap and budget.

  4. Assign Owners

The same MSP pairs the vCIO with an account manager who handles follow-ups and day-to-day concerns.

Output: a name next to every roadmap item.

  5. Review Progress

Follow up quarterly or semi-annually, depending on client size.

Output: an updated roadmap, not a slide deck.

A quarterly business review (QBR) that only replays last quarter's reports isn't strategy. One commenter said most QBRs "just regurgitate reporting that has already been sent".

How MSPs Price And Sell vCIO Services

In the r/msp thread, MSPs described three ways to bill clients for vCIO time:

  • Included in the managed contract. One owner doesn't charge separately; as a line item, he wrote, clients may "expect something different".
  • Billed for the time, like engineering time.
  • Rolled into project bids as overhead.

Who gets it is a separate choice: every managed client with depth set by size, or strategic clients only. Either way, write the scope of your vCIO services down: the documents, the meeting cadence, and the support between meetings.

In the 2024 study, strategy-focused fractional CIOs averaged five clients, about one day per client per week. An MSP vCIO may carry far more: one r/msp commenter put it at 20 to 30 clients. Our guide to managed services pricing shows where those hours go.

Integrity ranked among the highest success factors in the study, because the role could earn commissions from the suppliers it recommends. Several r/msp commenters warn against paying vCIOs commission.

How this works in SherpaDesk

Bring The Service Numbers To The Review

A helpdesk and PSA a small IT team can run alone. Before a review, pull the facts from the tickets, time entries, and contracts you already log. The Contract Detail Report shows prepaid hours remaining, which opens the budget conversation. The SLA report gives On-Time and Goal vs. Actual results for closed tickets.

Alerts fire when a prepaid pack or a flat fee plus hourly contract nears its included hours, so you can raise the overage before the review. Schedule a custom report by email to arrive before your planned review.

Base Camp is $45 per agent per month ($40 billed annually), and your first agent is free, forever. 14 days free, no card. No contract. No implementation project. No dedicated admin.

How To Know You Need A vCIO

You likely need one when IT decisions land on someone whose main job is something else, such as the CFO, or when nobody can judge what the IT suppliers propose. Three signs:

  1. Nobody can say what IT will cost next year until the invoices arrive.
  2. Laptops, servers, and licenses get replaced when they fail, not on a schedule.
  3. Your MSP keeps things running, but no one at the table owns the plan.

Before you sign, ask three questions. Can I see a sample roadmap and budget? Who follows up between reviews? How is the vCIO paid, and does any of it depend on what I buy? The last one matters because a conflict arises if recommendations affect the vCIO's pay.

Who this isn't for

If someone competent already owns your IT strategy, budget, and the link between IT and the business, you don't need a vCIO. If all you need is working systems, a strategy retainer won't fix a slow helpdesk.

Frequently Asked Questions

How much does a vCIO make?

BLS publishes no separate figure for vCIOs. Its closest occupation, computer and information systems managers, lists CIO and CTO among its titles and had a median wage of $175,140 in May 2025.

What a client pays for vCIO services is a different number. See pricing.

What does vCIO mean?

vCIO stands for virtual chief information officer: someone who acts as a company's CIO part-time while serving several clients. The same role is also called a virtual CIO, fractional CIO, or part-time CIO.

In one r/msp thread, MSPs include it in the managed contract or bill the hours. See the definition.

Is a CIO higher than a CTO?

Not by definition. In companies with both, the CIO and CTO may be peers, or one may report to the other. It depends on company size, ownership, and industry.

The split is internal operations for the CIO and customer-facing technology for the CTO. See the comparison table.

What does vCISO stand for?

vCISO stands for virtual chief information security officer. NIST's glossary, written for US federal agencies, defines the CISO as the official who carries out the CIO's security responsibilities.

A vCISO offers that expertise part-time, remotely, or by contract. Some MSPs offer it next to vCIO services.

Is a vCIO the same as a fractional CIO?

Mostly, yes. In the 2024 study, most interviewees saw no difference between the two terms. The authors chose "fractional" because a "virtual" CIO, one who works remotely, could also be a full-time employee.

In the r/msp thread, the vCIOs described were on the MSP's own staff.
